Logistics and Security Coordinator – 1 POSITION – NATIONAL OFFICE
Position Purpose:
The purpose of the position is to provide oversight in security, fleet management asset management and to ensure service delivery efficiency and effectiveness.
Key Responsibilities
Provide effective, efficient and timely support services to WVM office by ensuring high standard of service from all the support service functions.
Participate in the negotiation, implementation, monitoring and reporting of relevant contracts and Service Level Agreements.
Ensure an optimal interface between administration and business units for efficient customer service delivery.
Collate monthly, semi-annual and annual reports for the Support Services department.
Model Christ-centered servant leadership and support spiritual; development of the team
Developing cost saving initiatives
Overseeing Office Maintenance
Liaise with Finance for timely processing of payments to service providers
Asset Management-Inventory & Fixed assets
Review and recommend for approval of Administration contracts
Ensure fleet register is maintained and that all Assets are comprehensively insured.
Strengthen Standardization and enforcement of fleet management procedures, guidelines and processes and implement a life-cycle management system
Analyze and disseminate information from fleet management system for management decision
Ensure that all organization’s motor vehicles and motorcycles are properly insured in accordance with the set policies.
Promote and spearhead safety driving /riding of motorcycles and motor vehicles in the organization.
Manage fleet and logistics related contracts for goods and services
Analyze fleet status and cost upkeep, provide recommendations on vehicle disposal and replacement in accordance with the WVM disposal policy.
Develop and implement a reliable transport system to support the implementation of the security management plan
Keep abreast with security related information and advise management and staff as appropriate
Provide security trainings to WV Malawi staff
Manage relationship with contracted security service providers
Conduct annual security assessment for all WV Malawi offices and make recommendations to management
Work with Risk Manager, P & C, Child Protection and finance on fleet and Security incident reporting and management
Ensure that proper documentation is maintained on all fleet and security incidents in line with WVI standards
Ensure World Vision Malawi’s adherence to WVI Core Security Requirements
Conduct annual insurance survey for WVM fleet and security.
Minimum Qualifications and experience
Bachelor’s degree in Business Administration/Security studies
Minimum of 3 years of relevant experience in Administration
Experience managing statutory and donor audits
Substantive experience working in the NGO sector dealing with multiple donor funds and meeting different donor requirements
Proven experience in supervision of staff within different functions
Demonstrated high proficiency levels of ICT systems
Required knowledge, Skill and competencies:
Excellent analytical and problem solving skills
Ability to present information clearly and concisely in writing or verbally, with excellent written and spoken English
Ability to negotiate and influence, challenge and question
Ability to create and maintain administrative systems.
Able to prioritize own and others work to tight work deadlines.
