Security Team Office Manager A2 (19/17 NR) INTERNAL


Main purpose of job:

Work within a Security team of 4 and carry out the day to day security management of the mission; assist with managing the security budget and the local guard force.

Roles and responsibilities:
Responsible for the operation and safety of the Mail Rapid Scanner machine. Supervise G4S in conducting scanning of incoming mail prior to distribution.
Finance role: be a requistioner on PRISM to raise PO’s for the various security suppliers. Monitor security spend/finances and communicate the same to the PSM on a daily basis. Track invoices to ensure suppliers are paid on a daily basis. Ensure policy and processes are duly followed.
Liaise with team members regarding security arrangements for functions at the residence, HC and staff properties. Ensuring that BHC security is not compromise at these events.
Assist with monitoring and managing the security team inbox. Organise security clearance for visitors/ vehicles and commercial vehicles carrying out deliveries to the HC and Gitanga workshop compounds.
Produce both temporary and permanent passes for UK Based staff and spouses. Ensure the system is kept up to date.
Verification of police certificate of good conduct for new LE members of staff. Similarly in the absence of the DSM attend to RTA incidents involving UK based staff or BHC drivers.
Assist in carrying out security check of properties.
To deliver security briefings to new staff/ visitors when necessary.
Assisting, where necessary, on VIP visits under the direction of the OSM.
Maintain control over the issuance and replacement of security equipment.
Receive and dispatch unclassified Diplomatic Bags.
Monitor the operation of CCTV at HC & Residence and report any faults in good time.
Conduct daily patrols of HC to ensure fire exits are clear and address any security concerns observed in the compound.
Be responsible for ensuring weekly Fire/Bomb & Incident alarms are tested and tests documented. Report any faults to the TWS. Similarly, ensure Displayed Fire Warden Information up to date.
Conduct quarterly visit major BHC properties Gitanga, Casa Laiser, HC Residence and any additional multiple occupancy compounds to ensure security is not being compromised
Carry out office administration. Ensure files and phone lists are active and up-to-date.
Collate and prepare security reports from G4S and KK for ROSM
Stand in for DSM when on leave, away from post.

Other benefits and conditions of employment

This role will require some flexibility in terms of working after hours, as well as attending to events at short notice. There may be some travel involved.

Due to the nature of the role it is necessary that any applicant is able to obtain security clearance to OFFICIAL but preferably to OFFICIAL SENSITIVE. Security checks and an interview will be conducted.

Employees recruited locally by the British High Commission in Nairobi are subject to Terms and Conditions of Service according to local employment law in Country.
Spouses/registered partners of UK Based Staff are able to work within the BHC/BCG but their salary will be abated at the appropriate tax rates.
Reference checking and security clearances will be conducted.
