Job Purpose
Coordination of the operational, administrative and financial
arrangements for the Maritime department
Tasks and Responsibilities
Project Lifecycle/Task Management
Sound understanding and management of flow of work from
recruitment to deployment (where appropriate)
Maintain and coordinate collation of accurate task-related
information to ensure effective and efficient billing
Maintain electronic filing system for all task-related documentation
Assist with the resolution of and/or respond to queries
(consultant/supplier/client) via phone/email as appropriate
Communication with vessel Master and client
Deployed consultant and subcontractor (“personnel”)
administration (where applicable)
Issue and check all required documentation prior to deploying
personnel [including employment contracts/subcontractor
agreements personal details, medical cover etc]
Ensure all personnel documentation is complete, filed and
maintained appropriately
Ensure all relevant checks (including reference and criminal) are
completed referring discrepancies to the appropriate Manager
Ensure all correct vetting procedures are adhered to
Maintain and update the electronic filing system for all
recruitment-and deployment-related documentation
Update and maintain the personnel database
Provide reporting data when required for head count information
and other ad hoc requests for management reports
Point of contact for personnel queries via email and telephone
Book and send out flight tickets
Arrange hotel accommodation when required
Recruitment & Training (as applicable)
Support Operations Manager with recruitment process
Update and maintain the in-house recruitment database with new CVs
Ensure applicants have correct documentation prior to interview
Other
Build and maintain strong working relationships with
Management and Administration teams in other regions/business units/offices as required
Liaise with the relevant port authority to ensure documentation
for personnel is correct and in place prior to arrival
Ensure launch transportation for the team from port to vessel is
confirmed
Track team movements and tasks to ensure accurate payment of
CRSL employees and issuing of client invoices
Liaise with Maritime information in London
Assist with the resolution of and/or respond to queries
(consultant/supplier/client) via phone/email or website, as
appropriate
Upload invoices to Dynamics system for processing
Initiate and track background searches into new recruits
Knowledge and Experience
Accurate with a keen eye for detail
Communication skills–ability to establish effective
communication with internal and external contacts providing firm
clear and factual direction to all personnel
Ability to problem solve and see difficulties through to a
satisfactory conclusion over a varied timeframe
Qualifications and Specialist Skills
Strong IT skills including Microsoft Outlook, Word, PowerPoint and Excel.
Excellent written and verbal communication skills.
Strong organisational skills and an ability to prioritise work.
Ability to meet deadlines and work under pressure with limited supervision
