Job Description
This position will be responsible for all matters administratively in relation to Olive Group (OG) personnel in Iraq. J1 clerk is responsible for ensuring the professional, accurate and timely conduct of all daily OG administration operations in order to support all employees of OG (expatriate, TCN and Iraqi) in meeting the
core business function of OG Iraq. The J1 Clerk will provide administration services in accordance with the OG Strategic Plan for Administration and Human Resources and as per OG Administration Standard Operating Procedures (SOP).
Key Tasks and Responsibilites: Able to construct and oversee financial accounts. Ensures clients Iraqi entry visas are applied for and disseminated before arrival Conducts close liaison with client HR on clients flights and arrival times Maintain financial accounts and prepare monthly reports for Dubai and country management Conducts and supervises the acquisition of visa applications. Ensure all project badging requirements are met. Maintain manning records. Prepare and ensure weekly manning sheets (for billing) are updated and forwarded to the client if applicable. Prepare and maintain Local National contracts (OG only). Co-ordinate with the Operations Manager over client airport collection and drop off. Maintain close liaison with IN fixer in relation to immigration and airline staff as applicable. Maintain close liaison with J1 Baghdad. Maintain P Files on all OG personnel. Have a basic understanding of Motorola radio systems. Conducts watch keeper duties as requested by the operations manager. Be prepared to aid the Operations Manager in tasking outside the J1 criteria – Not Protection.

Additional Tasks and Responsibilites:Supervise all OG Administration subordinate staff. Assist with the development and implementation of administration policy, SOP and procedures. Provide advice on policy and SOP to all OG employees. Assist with the development, implementation and monitoring of effective office management systems. Prepare reports and returns as per SOP. Conduct administration services in the following primary competencies: - New employee administration. - Personnel records. - Service agreement amendments and changes to contract. - Travel and visa administration. - Contract Letters of Authority, USF-I access and identity cards. - Changes to personal information. - Leave. - Grievances. - Discipline. - Performance reports. - Casualties and repatriation. - Illness and injury. - Personal effects and medical insurance. - Employee departures. - Manpower records. - Stationery. - Postal.

Essential Capabilites ,Skills: Proven background in administration and human resource management Strong team player who can communicate, motivate and interact effectively with commercial clients, US military personal and Iraqi officials Be able to articulate facts in a timely and accurate manner both orally and written Ability to draft detailed and accurate reports Self motivated, excellent organizational and time management skills Ability to manage constantly evolving workload priorities Excellent communication skills and command of the English language is essential Must be able to communicate well at all levels and of various nationalities Full understanding of liaison and interaction with USF-I and Host Nation Forces Ability to demonstrate a high level of initiative and accuracy with limited supervision and in high pressure situations Understanding diversity and cultural issues within the area of operations Proven operational experience in a high risk environment.

Key Competencies: IT Literate in Word – and have a working knowledge in PowerPoint and Excel. Possess a full understanding and working knowledge of the radio systems in operation. Fully cognizant on all Olive Group Iraq SOP and directives. Possess good radio and voice procedure
