The Security Administrative Assistant assists the AFSO/Site Security Manager in office management and complex administrative duties requiring independent analysis and judgment in the completion of work assignments as directed by the AFSO/Security Manager, including administration of Common Access Card processing.
Essential Duties & Job Functions:
Contacts new and transferred employees to obtain and provide information and obtain documents necessary for Common Access Card (CAC) processing.
Receives, reviews for accuracy, processes and reconciles information provided.
Initiates investigations via PSIP and reviews, processes and provides assistance to employees for completion of National Agency Check with Inquiries background investigations.
Edits/proofreads documents and provides direction to employees for PSIP completion.
Develops and maintains various complex spreadsheets for accountability, reconciliation and statistical purposes.
Maintains well-organized personnel filing systems for various security categories.
Prepares fingerprint cards and fingerprints employees.
Prepares mailings and sends via secure process.
Distributes security materials and assists in preparing regular compliance reports.
Assists in preparation for Defense Security Service (DSS) security reviews and audits.
Acts as on-site security manager when manager is unavailable
Uses a variety of office machines and equipment, and Microsoft Office software programs.
Orders office supplies as necessary.
Performs other related duties as assigned.
Accountable For:
Knowledge of general office procedures and standard office equipment.
Advanced computer proficiency skills in the use of Microsoft Office software applications, particularly in creation and maintenance of spreadsheets, databases, and presentations.
Proofreading skills to review documents for accuracy and completeness.
Good interpersonal and communication skills.
Fast and accurate typing/data input skills.
Ability to display discretion in protecting Chugach proprietary information and confidential sensitive personal information contained in Industrial Security files.
Ability to work with a variety of people in a professional and courteous manner.
Ability to work under pressure and cope with deadlines.
Ability to work independently, with minimal supervision.
Ability to obtain certificates to become a PSIP requester.
Ability to present security trainings in large group settings.
Qualifications
Mandatory
High School diploma or equivalent.
Four years’ experience as an administrative assistant or similar work.
High proficiency in the use of Microsoft WORD, EXCEL, PowerPoint, and Outlook.
A previous personnel security clearance (PCL) that can be reinstated at the time of hire.
Ability to successfully complete Defense Security Systems courses via independent on-line classes.
Required to obtain a U.S. DoD Interim Secret Security Clearance prior to start date, and Secret Security clearance after hire.
Required to pass a Federal Background Investigation to obtain a Common Access Card (CAC).
Must maintain CAC and Clearance eligibility throughout employment.
Ability to successfully pass a pre-employment background check and post offer drug screen/ physical medical clearance.
Preferred
Advanced education in a related field.
Completed Defense Security Systems classes.
Experience taking fingerprints
Prior Industrial Security experience.
Familiarity with Army Regulations and DoD Instructions.
Familiarity with National Industrial Security Program Operating Manual (NISPOM).
Public speaking experience.
