Consultancy Training Security, Stress Management and Wellbeing

Introduction and background:

We are required to contract services for the provision of training for field staff and line managers which will contribute to the development of capacity in the field of Security Management, Stress Management and Wellbeing.


General Objective:


Develop and deliver a five-day workshop in Prague, Czech Republic, from 13 to 17 March 2017, to a group of 15-20 participants. The successful trainer (or team of trainers) selected are sought to prepare and implement a 5-days training that aims building capacity of attendants on: a) managing security in complex emergencies and conflict zones reducing the likelihood of security-related incidents and b) reduce the risk of burnout and other emotional impacts, acquiring methods for stress management and reinforce capacity to provide psycho-social support to beneficiaries.


Thus, this training is expected to fulfil two separate but closely linked components:


Component 1 - Security Management:


a) Enable participants to identify the key requirements for managing security in complex emergencies and conflict zones by practicing essential techniques in risk management, security assessment and crisis response.

b) Introduce a variety of measures to help reduce the likelihood of security-related incidents taking place and enable participants to respond appropriately to situations that could compromise their safety and that of your colleagues.

c) During the training, participants should discuss, learn and apply approaches and measures to improve your personal security when living and working in insecure environments.


Component 2 - Wellbeing and psychosocial support:


a) Provide tools, methods and approaches to reduce the risk of burnout and other emotional impacts of working in insecure environments.

b) Enable participants to acquire methods for stress management.

c) Support organisations in developing policies and guidelines to care for the staff wellbeing, identify early signs of burnout or psychological impacts linked to the work and reactionary measures.


Expected Learning Outcomes:


This is not an exhaustive list and it can be modified and further completed in conjunction with the successful applicant for the delivery of the training.


Component 1 - Security Management:
Context assessment and environment scanning tools and methods;
Understanding and differentiate among threat, vulnerability and risk assessment;
Learn about incident response, analysis, reporting and information management;
Understand and increase situational awareness to increase personal, staff, and project safety;
Understand International security standards and be able to identify weaknesses within individual organizations;
Learn how to use mind maps, colour coded systems to analyse risk, and risk planning matrix to design risk mitigation plans;
Understand the importance of, create, and develop Standard Operating Procedures (SOPs) and developing security strategies/policies, e.g. in case of evacuation planning and procedures;
Security planning tools;
Basics of vehicles and travel security;
Behave appropriately at legal/illegal check points; enhance safety and effectiveness through knowledge of basic field navigation;
Security management remotely or in cases of restricted access;
Understand best-practices for delivering aid in unstable rapidly-evolving situations, and stay safe during outbreaks of civil unrest.
Understand the basics of Hostage Situation Management (kidnapping & Hostage incident from abduction to release/rescue by force).


Component 2 - Wellbeing and psychosocial support:
Field communications equipment and personal communication;
Crisis management including stress management and psycho-social support;
Coping with sexual violence;
Organisational procedures to promote staff wellbeing, with emphasis on remote management structures.


Duties and responsibilities:

In order to achieve objectives the contractor will provide following deliverables:

Design training materials, formulate training schedule and methodology which will be shared, discussed and approved by designated focal point;

Conduct training in Prague, Czech Republic, for organization and the other five humanitarian organization staff. Training should include interactive sessions, with opportunities for practicing and honing skills;

Design and conduct a pre and post training test of participating staff, sharing the results with organization in a final report.

Prepare a final report that should including (not exhaustive) training materials, final schedule, methodology used, concise presentation of the training sessions, photos (jpg format), analysis of test results, main findings, conclusion and recommendations based on lessons learned for future interventions. This report will be shared, discussed and approved by designated focal point.


Requirements (Person Specification):


For the purposes for this training, one consultant is required to travel to Prague, Chez Republic, and should fulfil the following specification:

A secondary degree in a relevant discipline;

At least 5 years’ of professional experience in humanitarian intervention, development, capacity building of NGOs and Civil Society Organizations, security management, psychosocial support and/or human resources;

Proven record in designing and delivering trainings, including delivering training on Security Management, Wellbeing and/or Psychosocial support;

Confident presentation and facilitation skills with experience of delivering training to those who do not have English as a first language;

Experience of working in humanitarian contexts, ideally with an NGO and a good understanding of humanitarian response work;

Fluency in English, French language skills are highly desirable although not essential;


Methodology and Organization:


The contractor will work under direct supervision of organization-designated focal point. The contractor shall consult with organization-designated focal point during the assignment. ln partnership with other five organizations, will select approximately 15-20 participants that will attend the training. On average, participants are mid-level managers and experienced more than 5 years in the field of humanitarian intervention. organization will provide necessary equipment that includes (if requested by the contractor) computer, projector, flipchart, and office supplies in order to ensure efficient completion of the training programme. The contractor should share in advance with organization-designated focal point training materials for printing and should provide organization with a soft copy of each training material prior to the workshop.

The consultant will be selected based on the following criteria:
Education of the consultant: 15
Capacity, expertise and experience of the consultant: 15
Understanding of the training requirement/objectives: 10
Knowledge and experience in main topics of the training: 15
Experience in development of training materials and in leading and facilitating training workshops: 15
Value for money (financial offer): 30


Financial arrangements:

Payment will be disbursed in multiple payments: advance payment upon signature of the collaboration agreement and a final payment upon submission and approval of deliverables and certification by Organization designated focal point, that the services have been satisfactorily performed.
