To ensure the efficient day-to-day operation of the office, and support the work of management and other staff. Perform wide range of and administrative and office support activities for the department and / or managers and supervisors to facilitate the efficient operation of the security department.
Performs general light office duties, such as copying, computer date, entry, faxing, emailing, etc. requisitions supplies and office equipment if required. Answer, screen and transfer inbound phone calls or direct return calls. Provide information to internal colleagues or external enquirers. Act as a liaison between the security department and other hotel department at the direction of the Head of the Department. Handle request and resolve administrative problems and inquiries. Ability to prioritize and organize work assignments and to delegate work. Provide additional operational support to the security teams as required. Assist in scheduling the security team and preparing security departmental budget. Performs timesheets payroll of the security department. Maintains security department calendar and other departmental activities schedule. Arrange for meetings and conferences, including preparing agendas, minutes, distribute itineraries, memos, preparing and submitting reports and prepare emails or written agreement, organizing travel arrangement, as directed by HOD or Security Manager. Able to prepare templates, form and formats, checklist, managing files, prepare presentation, documentation and office systems. Administer employee files, maintaining and track security records and other security details. Handling sensitive information in a confidential manner. To perform duties assigned by the managers and participates in security briefing, debriefing sessions and meeting when required. Maintain the policies, procedures and objectives laid out in all Emaar Hospitality Group such as handbooks, training material, memorandums in accordance with the directives of the Corporate Director, Emaar Security Group as well as the UAE Rules and regulations.
High school graduate at least.
At least 2 years’ experience as an administrative assistant or other closely related field.
Key Skills, Ability and Core Competencies
Must be computer literate and be able to use such programs as Microsoft Word, Microsoft Power Point and Excel. Above average ability to communicate in English both in writing and speaking with guests, management, co-workers, and members of Law Enforcement and Emergency Services. Security Training course certification from Dubai Police Academy. Sound judgment and decision making skills, with a ‘hands on’, problem solving approach, able to remain calm under pressure and take control of incidents. Must have the ability to perform basic mathematical calculations. Must be able to type 45 words per minute. Ability to work as part of a team, as well as independently. Energetic and flexible individual who provide efficient and professional administrative support to other office members. Must be able to deal with constant interruptions and spend hours doing mundane tasks that require a high level of concentration.
