Position Summary:

This position will perform administrative duties for managing 64 full-time and over 50 part-time on call personnel to include travel coordination, and Contractor Training tracking to include management information system input. In addition, this individual must have experience in personnel support to sustain clearance for the workforce across several companies to operate in specified locations such as Germany and Italy.


Primary Job Functions will include one or more of the following:

Personnel Actions:
In/Out processing of contractor personnel for the JMSC program.
Coordination for Base Access of Part Time on Call personnel.
Coordination for Common Access Card issue and return.
Coordination for Work Permits (also known as FAXBACKS) for visitors coming to Germany.
Coordination for Passport and VISA requirements to sustain the workforce.
Coordinate and track personnel security clearance requirements to include notification when updated background checks are required and request Company Security Managers submit Visit Authorization Letters (VAL) in a timely manner to meet exercise and conference requirements.
Coordinate training for personnel.
Collate and submit out-processing materials to the Contracting Officer Representative.
Keep current contact information for all team members.

Travel Actions:
Coordinate transportation, lodging, and VISA requirements (when applicable).
Coordinate pre-travel security briefings for contract personnel, when required.
Provide cost estimates for travel requirements when requested.
Submit Work Permit application, when applicable.
Submit APACS requests, when applicable.
Follow up with travelers to ensure they submit expense reports in a timely manner.
Track travel expenditures and record for the Program Manager and government review.
Travel may be required.
Other duties as assigned.

Office Manager Actions:
Ensure the Grafenwoehr office has basic supplies (paper, toner, pens, etc.).
Manage portions of the JMSC portal.
Coordinate for FedEx pickups and sign for deliveries.
Acquire and maintain a company credit card to use for authorized purchases.
Purchase monthly supply items.
Mail items to corporate offices.

Qualifications:

Education and/or Experience:
Bachelor’s degree in a related subject area or no degree and over 4 years of relevant experience. Experience with supporting U.S. military management information systems is preferred.

Skills and Abilities:
Demonstrated experience in customer support.
Knowledge of Passport and VISA coordination.
Must possess, or be eligible for, SECRET clearance. Maintenance of clearance is mandatory.
Experience with security requirements coordination to include investigation coordination and Visit Authorization Letter submission preferred.
Experience with costing and coordinating personnel travel desired.

Candidate Requirement
The individual must be able to secure and maintain a U.S. government issued security clearance at the Secret, which normally requires U.S. citizenship. Individuals selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information. Individual must be willing to live outside of the Continental United States for an extended period (not less than four years).
